Records may be held, located or assessed differently depending on the city and historical period. Accommodation registration, university files, employment records, visas, residence permits and local issuing records may not all be available through the same route.
This does not mean that every city always has a completely separate process. It means that each part of the residence history should be checked instead of treating several years in China as one undivided stay. Changes in city, address, purpose of stay or passport can affect which records can be matched.
Start With a Complete China Residence Timeline
Do not begin by guessing how many certificates you need. First create a city-by-city and period-by-period timeline. Include gaps outside China and note when a passport, visa status, employer or university changed.

Do You Need a Separate Police Certificate From Every City?

- What can be issued or documented through the relevant local route in China?
- What does the receiving authority require for the applicant’s China residence history?

What If Your China Residence Was Not Continuous?
An applicant may have lived in China from 2016 to 2018, stayed outside China from 2018 to 2020, and returned from 2020 to 2022. These should be recorded as separate residence periods rather than combined into one continuous six-year stay.
For each period, list the city, arrival and departure dates, passport, visa or residence status, purpose of stay and available records. This makes gaps visible and helps compare the China timeline with the periods the receiving authority asks the applicant to cover.
What If You Returned to China Under a New Passport?
A person may have used Passport A during an earlier stay and Passport B after returning to China. Historical visas, accommodation records, work permits and residence permits may therefore show different passport numbers.
Record the passport used for each city and period. Old passport copies, visa pages and residence permits may help show that the records belong to the same person. Do not treat a partially complete timeline as proof that every period is covered. At the same time, one missing city record does not automatically mean the entire case will fail.
For each city, record what exists, what is missing, which period is affected and what enquiries have been made. This separates a local record gap from the rest of the case. Do not apply a general number of months to every applicant. Check the current instructions for the immigration program, visa category, employer or institution involved. For each China residence period, record:
- City.
- Start date and end date.
- Passport number used.
- Visa or residence status.
- Employer or university.
- Accommodation type.
- Whether temporary residence registration is available.
- Whether the old passport is available.
- Whether a residence permit is available.
- Other supporting records available.
- PCC status or whether the local route has been checked.
This is an organizational checklist, not a universal government document list. Its purpose is to expose missing periods and make later enquiries more precise.
